Using Google Calendar as an Email Alert System for Electronic Resource Renewals This article describes an innovative and simple way for libraries to generate email reminders for the renewal and payment of electronic resources using Google Calendar. The advantages of using Google Calendar include cost (it’s free) and ease of use. Setting up an email alert system using Google Calendar enables librarians to track and manage their electronic resources more effectively. It is common for academic libraries to subscribe to numerous types of electronic resources including indexes, full-text databases, reference sources, streaming video/audio collections, and journal collections from individual publishers. Consequently, it can be challenging for librarians to keep track of the renewal and payment process for online resources. This article will present an easy, readily accessible, and inexpensive way for librarians to alert themselves to upcoming renewals. A Web-based Solution While spreadsheets handled many of our needs well, we soon recognized that we also needed an email alert system to expedite the handling of renewals. We evaluated two major online calendars, Google Calendar and Yahoo Calendar, to determine whether they could be customized to do what we needed. After signing up for accounts, we set up a test email alert system on both platforms. It soon became obvious that Google Calendar was better suited to the kind of system that we envisioned. While both Google and Yahoo were easy to use, only Google allowed us to set up email reminders up to four weeks in advance of renewaldeadlines. Yahoo, by contrast, limited email reminders to fourteen days notice. Before populating Google Calendar with renewal dates, we needed to go into the “My Calendars” settings and select “Share this Calendar” to add all the email addresses for staff who required access to the calendar, and then save the settings. In addition, staff members needed to have an individual Google Calendar account (linked to amontclair.edu email account) with the same notification settings in order to receive all the email reminders at the designated times. This was accomplished by selecting the “Other Calendars” setting in each account and clicking on “Notifications” for the shared calendar. In the Notifications setup, email reminders were added for the desired time intervals (in our case this was one, two, and four weeks). After this was completed for all participating staff, the calendar was ready to be filled. The next step was to have a student assistant post events and email reminders in Google Calendar. This was fairly straightforward. For each electronic resource, we wanted to keep track of the renewal date and payment status, so we created an “event” for each title. To create an event in Google Calendar staff had to complete the following steps: 1. Click on "Create Event" on the left hand side of the screen. 2. Type the event title in the "What" field (for example, ABI/INFORM Renewal or ABI/INFORM Payment). 3. Indicate the date of the event and whether it repeats yearly or at some other frequency (that is, carrying over the event to the following year or some other future date). 4. Under "Options", add the number of reminders needed and select the type of electronic reminder (for example, an email or pop-up message) as well as the time frame for sending them out in advance of the event (weeks, days, minutes). This can also be preset in the "My Calendars" settings under "Notifications". 5. Insert a description of the event, such as "Check for receipt of resource invoice" or "Verify resource payment". The software was customizable enough that we could add multiple reminders. Remind-ers were sent out four weeks, two weeks, and one week before the renewal date as well as four weeks, two weeks, and one week before a designated payment status check. The recipients included the Electronic Resources Librarian (myself), the Periodicals Librarian, and the Dean of Library Services’ office, the key players in managing our electronic resources. Since Google Calendar allows events to be carried over year after year, there is no need to repopulate the calendar every year. We developed a work-around in instances where we needed to be notified more than four weeks before a subscription lapsed. For example, if we wanted to generate a reminder 90 days before a renewal date, we simply created an event at least 62 days before the end of the subscription period and set up a reminder to be sent four weeks ahead of time. We made sure to embed the actual renewal date somewhere in the description for the event. Once the calendar was operational, we had the capacity to login to our account and browse month to month to determine which electronic resources were up for renewal in the future and plan accordingly. Other uses we discovered included monitoring the beginning and end of database trials as well as tracking scheduled meetings with vendors and staff. For the most part, however, we continue to use the calendar primarily as a basic alerting system. Although we have been using it for less than a year, we are satisfied that we have achieved our modest goals. The minor problems encountered were mostly related to errors in data entry, for example, incorrect dates or typos. All in all, the Google Calendar tool provides us with an effective means of following the renewal cycle for our electronic resources at a fraction of the cost of sophisticated proprietary systems. While the stereotype may be true only to a degree, it is a certain fact that librarians of government-aided libraries in the state are increasingly feeling like the worn-out leaves of a book no one wants to read. To make their presence felt, this disgruntled workforce will take out a protest march to chief minister Ashok Chavan’s bungalow, Varsha, on July 19. They are demanding better pay, and want the state frame a library movement policy which clearly defines the methods and ways to reach and educate villagers through the medium of books. “We want our remuneration to be revised. We do not get salaries. There are insufficient funds to buy new books. Ours is a thankless job, in spite of us giving readers a perspective,” said Dr Ramesh Janmabandhu, Maharashtra Rajya Granthalaya Sangha. “Under the current circumstances, our work can be equated with social work. We want to be on the government’s pay roll. We also want to highlight various lacunae in the libraries. There are not enough reading rooms, books or furniture to attract readers,” said Ashok Khandle, a librarian. Sunil Kubal, a librarian from Dadar Marathi Granthalaya, said, “Books in all languages are now-a-days priced at Rs300, and grants are not sufficient to buy them. We need double the grants. Our remuneration has not been revised since five years. Our job involves not just classification and cataloguing, but we personally deliver books at senior citizen’s homes. UNESCO publishes World Social Science Report 2010: Knowledge Divides World Social Science Report 2010: Knowledge Divides Social science from Western countries continues to have the greatest global influence, but the field is expanding rapidly in Asia and Latin America, particularly in China and Brazil. In sub-Saharan Africa, social scientists from South Africa, Nigeria and Kenya produce 75% of academic publications. In South Asia, barring some centres of excellence in India, social sciences as a whole have low priority. These are a few of the findings from World Social Science Report, 2010: "Knowledge divides". Good News for Library Associations/ Professional Societies :: UGC Assistance for Annual Conferences, Journal Publishing, Day-to-day office expenses India's University Grants Commission (UGC) recently announced a "UGC XI Plan Guidelines for Scheme for Incentivisation of Teachers, Subject / Discipline Based Association for Organisation of Various Academic & Research Activities during XI Plan (2007-2012)" that provides financial assistance to the subject-based associations including Library Associations. Objectives * The objective of the Scheme will be to support Subject Associations in Social Sciences Humanities & Languages in organizing specified activities in order to encourage teachers and researchers to participate in Conferences/Seminars/ Workshops and to present papers leading to publication, wherever possible. The following activities will be supported through the Scheme: (i) Core Grant for National Subject Associations: A core annual assistance will be provided to national level Subject Associations for secretarial support, day-to-day office expenses, communication and dissemination of their activities and outputs etc. The grant will be subject to a ceiling of Rs. 3.00 lakh per year and its allocation will depend upon the size of the Association as mentioned under (iii) of the eligibility. There will be three slabs of grant for Associations with Membership from 200-500, 501-1000 and 1001 and above. (ii) Annual Conferences of the Association: The UGC will provide financial support for holding of the Annual Conference of the National Subject Associations and for publication of the Conference Proceedings. The maximum amount of grant under this head will be Rupees seven lakh except in the case of the Indian Science Congress where this ceiling will be Rs. 20.00 lakh. This grant will also depend upon the size of the Association. (iii) Journals: The UGC will provide financial support to journals published by the Subject Associations as well as universities / university departments and other research institutions. The financial support under this head will be subject to a maximum of Rupees five lakh for Academic Association and three lakh for University department or fifty percent of the audited cost of publication, distribution and dissemination of the journal whichever is less. (iv) National and Regional Conferences, Seminars as well as Workshops for upgradation of teaching and research: National, State and Regional Subject Associations which fulfill the criteria mentioned above shall be eligible to apply for National and Regional Conferences, Seminars as well as Workshops for upgradation of teaching and research through universities or colleges. The maximum assistance available under this head will be Rupees 2.0 lakh. The items to be funded may be similar as mentioned for Annual Conference. Problems in Delivering of LIS-Forum Mails

Dear Members, Some of you may be experiencing problem in receiving LIS-Forum mails especially during the past month or so. Several of you have brought this issue to the attention of the moderator. Initially, I thought the problem could be with individual subscriptions and therefore all such subscribers who had reported the problem, their subscriptions were re-created individually. This exercise didn't solve the problem. The matter was then taken up with our network team. I was told by the network administrator that there is a problem especially with the yahoo domain in delivering of bulk mails. Since the traffic to the yahoo domain is very heavy from the IISc domain, most of the mails from the IISc domain to the yahoo domain are being discarded by yahoo, which implies that LIS-Forum mails to yahoo are also being discarded. The IISc network team is pursuing the matter with yahoo. Since about a week or so, there seem to be some improvement as some of the LIS-Forum mails are being received on the yahoo domain but the problem is not resolved fully. I was also told that sometime back there was a similar problem with the hotmail domain as well. The hotmail issue seem to have been resolved fully but the problem is yet to be fully resolved on the yahoo and perhaps on other domains as well. There doesn't seem to be any problem in the receipt of postings although the number of postings and the number new subscriptions / day have come down considerably especially during the last 2 weeks of June. There is a marked improvement in the number of posting being received during the last 5/6 days. As you may be aware, all the approved messages gets archived automatically. They can be browsed by visiting the URL, http://ncsi.iisc.ernet.in/pipermail/lis-forum/ One can also search the archived messages at http://ncsi.iisc.ernet.in/pipermail/lis-forum/search.html For those who have been having problem in receiving the approved messages, they can visit the archives and get to know all the approved messages on a day-to-day basis. This, you may have to do till the problem in the delivery of LIS-Forum mails is resolved fully. Also, an appeal to all the members to use the list very judiciously. Presently, it is being mostly used for everything else other than to discuss matters related to the profession. Henceforth, we are going to be much more vigilant while approving the messages. We'll be sending the rules of the list that the members should follow while posting messages. Any message not complying to the rules will not be approved. According to reliable sources, the department of higher and technical education has written to the vicechancellor SN Pathan asking him to end the relaxation granted to PhD/MPhil holder from appearing in the tough eligibility exams for getting permanent teaching jobs in university or affiliated colleges. The relaxation was granted as per UGC’s directives of June 21 last year. The mysterious letter by the government mentioned that the it had notified all approvals given to PhD/MPhil candidates as "illegal" and these should be annulled within 10 days. The World Digital Library initiative gets further expanded 02-07-2010 (Paris) "Libraries, especially digital libraries, are truly at the heart of knowledge societies; they enable people to access, share and apply knowledge. UNESCO is committed to further expand universal participation in the World Digital Library (WDL) which reflects the values and priorities of our Organization" said UNESCO's Assistant Director-General of UNESCO for Communication and Information at the opening of the first official meeting of the WDL partners held in Washington, DC on June 22-23. The meeting elected a 7-member Executive Council, including UNESCO and the Library of Congress in their capacity as ex-officio members. In connection with this meeting the Carnegie Corporation of New York supported a conference of directors and technical staff from libraries, archives, and museums in 11 countries – Armenia, Azerbaijan, Belarus, Georgia, Kazakhstan, Kyrgyzstan, Moldova, Tajikistan, Turkmenistan, Ukraine and Uzbekistan - to identify important documents and collections from these countries that should be added to the WDL. Under the same grant, which was awarded in July 2009, the World Digital Library worked with the National Library of Uganda (NLU) to establish a Digital Conversion Center at the NLU in Kampala. This center, the first of its kind in Uganda and one of very few in sub-Saharan Africa, is enabling the National Library to digitize documents relating to the history and culture of Uganda for inclusion on its own website and on the WDL. The items digitized are from the NLU and other cooperating institutions in Uganda. Future activities planned under the grant include efforts to build capacity at libraries in South Africa so they, too can contribute collections to the WDL. "Capacity-building is a crucial element of the WDL, which is more than just a very high-tech website. In order to ensure participation by all countries that wish to share their cultural heritage with the world via the WDL, we need to assist them with training, equipment, and software" said Librarian of Congress James H. Billington. 2010 Emerald Indian LIS Research Fund Award Supporting the dissemination of knowledge for the social good in India Call for Indian library and information science research proposals Emerald is delighted to offer a research grant for an Indian project in the field of library and information science research. A union catalog has been setup on Koha: http://69.164.216.175/ Currently there is 1 participating institution: South Asian Bible College This will be a union catalog of historical collections of libraries and archives from different parts of the India. This is an ongoing process, with the regular introduction of new institutions to the catalog. The project wishes to solicit contributions from libraries, organizations, historians and other scholars for this catalog.
