Necessity of Accession Register in Digital Era
Dear Sir/ Madam, In this Digital Era, is there any necessity of the Accession Register. Because, if the Library is fully computerized, then we can get all the information in a fraction of second. Now my doubt is- Is there any necessity of Accession Register for the computerized Library OR Is it waste of time and energy to write all the information in the Accession Register? Dear Ms Veena Yes There is Computerised Accession Register. This is prime document for audit. Acc Register is available in almost all the Library softwares. We are using LibSys. Dear Madam, Although we are heading towards digital era, our financial audit rules and regulations in our country have not been modified to include 'electronic' records. Hence, we may still need the physical record (accession register) to show it to the auditors confirming the purchase of books from the library funds. I still feel that we should have an accession register which will be of help to librarians in many ways. Please remember that in our country a xerox copy of a document is still not a valid document untill a gazzetted officer or someone puts his signature!! Koteswara Rao Central Library, IIT Madras

You are absolutely right that information is available in no time from computerised accession register. Writing accession register by hand may not be needed if the aqusition and cataloguing activity is computerised. Printing accession register (through library management software) on montly/ quarterly basis may be enough. One can compile a years' printout bounded for future reference.

The ISI Library has discontinued accession registers for books since 2002. We have not received any objections from Auditors (Internal/ External). However, the ILS should be able to provide answers to all queries of the auditors.
