I concur with the practice that Ms. Sen is following regarding the organization of CDs in her library. Our practice at the HMS Central Library, Hamdard University, New Delhi is like this. To show the availability of the CDs supplied with a bibliographic item we paste a “CD AVAIALABLE” slip inside the back of the last page of the book. Further, we describe the presence of CD as an accompanying material by indicating this under the subfield code ‘e’ of the Tag 300 for the particular book. In addition, we maintain a separate catalogue entry for every CD in the ‘CD Format’ as given by MARC 21. We also maintain Accession registers in which CDs are entered under the series ‘NB” standing for non-book material. However, we don’t issue CDs for outside consultation. Students may either use CDs on the machines provided within the library or get a copy of the CD on their Pen Drives through CD writers made available in the library.

Thanks,

TANWIR

Subject: [LIS-Forum] CD-Roms

Dear Sujata,

We handle CD Roms in the following way, and found it to be very efficient way of CD Rom management.

CD's may be added to the library collections in different ways.

1. It may be accompanied along with a book

2. It may be accompanied along with a journal or magazine like Data quest etc.

3. You may procure it separately, independent of the two.

Rendering it in the following  way is found to be very useful.

1. When it comes with a book show it as accompanying material of the book, but give it a separate identity and a different accession no.

2. when it comes with a periodical, treat it in the above mentioned way, but also add the topics dealt with within the CD (this will be given in a nutshell on the CD), in the note field, or key words field of the CD's database--this will be searchable from your web OPAC or OPAC.

3. treat independant procurement in the same way and give continuation accession no. of the cD's database.

Physical arrangement for immediate access is done in the following way:

Arrange it serially and maintain it well.  Use OPAC to search, and find the exact CD, the user wants and get it at a moment's notice.

Hope this will give you some idea of how you can handle it.

Regards,

Gayathri Sen,
