Some of the measures we take in our library are outlined below 1. To do complete stock checking of a huge library (above 50,000 volumes) is not an easy task. In this connection please find a copy of Good offices committee rules which sounds appropriate.We are in the process of acquiring Autodata capturing device to do stock verification without closing the library as far as possible. 2. Loss of books by students/faculty needs to be replaced by the person who is instrumental for such an act. These can not be written off. Remarks must be made in the accession register as to who has lost and what number is assigned for the replaced book. 3. The library staff are considered responsible for collection,use, preservation, protection & maintenance of books .The librarian is expected to report to the library committee/director and find out ways and means to plug in abuse of literature, theft etc. and motivate the users in correct use of books. Alert staff is an asset to the library.However, it is unethical to penalise the library staff for the mischief played by the users of the library. Our library for instance, is open to readers from 8.30 A.M. to 8.30 P.M. and staff work on shifts.It is of utmost importance to give more attention to security measures & ensure that the losses are minimal. 4. Long overdue books , fine etc. are features in every library. For this we give regular reminders and try to recover the books before the person leaves. We also see that soon after verification period the users are stopped from taking further books until they clear their dues. In spite of deterrents we still have very few cases for which we find a solution at the library committee meeting . 5. So far we have not weeded out books of value, which are exhaustively used. Books like directories, yearbooks,annual reports which have temporary value are being listed and approval for withdrawal is sought from the senate. Being an Academic/Research library generally students have their own textbooks and multiple copies of books of temporary value are therefore not purchased.We have formulated ordinance for withdrawal of books and is yet to get a nod from the new senate 6. It is necessary to avoid obtaining books of unused nature. Healthy collection development policies like purchasing / accepting and accessioning books of value, analysing gift books before adding to library collection, would reduce this problem. Books that are old & need to be preserved ,but are not in a position to withstand the environmental conditions do exist in our library. They are being separated and we are converting them into CD-ROM. This process has to be done judiciously taking into consideration the copyright rules. Best wishes, Shantha Venkatesan.
